Our plans for office access

We're committed to keeping you updated about our plans for easing restrictions on access to our offices. Although over the coming weeks more people will be allowed to mix, both indoors and outside, we are keeping the precautionary measures we’re taking to keep everyone safe, in place. This means continuing to work remotely until at least the end of July, which is the target timeline for each UK adult to have been offered a first dose of a covid vaccine. 

From August, we hope to be able to increase office capacity, including more capacity for essential face-to-face client meetings. Our Facilities teams are working hard to develop office guidance packs and our People teams are planning for in-person inductions where needed.

Until then, access to our offices remains permitted for essential workers or those who require it for health and personal wellbeing reasons. Before attending an office – now or from August – you MUST email mydeskbooking@shma.co.uk to access the desk-booking system, so that we can manage a safe capacity to help protect everyone. You are also expected to wear a face covering in all communal areas.

It's not a requirement to have regular tests but please be aware that free, rapid lateral flow COVID tests are now available twice a week to anyone in the UK. Remember too, there is continued support available for you, including our trained Mental Health First Aiders, resources on our Wellbeing Hub and access to our Lifeworks employee assistance site and 24/7 helpline: unumuk.lifeworks.com (username: unum, password: lifeworks), 0800 048 2702.

We are keeping our plans under constant review and will keep you updated with any changes.

Socrates online training

As part of our annual online compliance training programme, the modules being allocated in May are:
  • Equality and Diversity - approximately 60 minutes / 80% pass mark. All staff will be allocated if not already completed in 2021.
  • Unconscious Bias - approximately 30 minutes / 80% pass mark. Staff at level 5 and above will be allocated if not already completed in 2021.
The completion date for both modules is 31 May. All modules and accompanying assessments must be completed to achieve a pass.

If you need to complete one or both modules, you’ll receive a notification from Access/Socrates.

**New** Bring your own device: information security video of the month

Please take two minutes to watch this month's short video on BYOD.

With the stark rise in virtual working, many businesses will have a bring your own device (BYOD) policy. This aids agile and empowered working by giving employees the flexibility of working remotely on a device that is familiar.

Whilst BYOD has significant pros, we must also be mindful of the risks that BYOD can present to our business, such as out of date malware protection and data loss due to theft. Therefore, we must ensure our devices have strong passwords or biometric authentication like fingerprints. Please refer to 3.3 and 3.4 of our Acceptable use policy to recap our BYOD guidelines.

Opportunities at Invest Midlands- Wednesday 26 May

Our flexible benefits window opens tomorrow!

Our flexible benefits window opens from tomorrow (Wednesday 5 May) to Friday 21 May. The benefits window provides the opportunity to review and choose from a variety of flexible benefits including medical, dental, and travel insurance. You can also sign up for the Give As You Earn scheme - you can select the charity you would like to donate to on the Zest benefits platform.

All current benefit selections will continue. However, it is important to review any existing benefits you have as rates may have changed. Your nominated beneficiaries for your life assurance will also need to be updated directly onto the Zest benefits platform by Friday 28 May - here's how.

The Benefits team will be hosting two drop-in clinics, Monday 10 and Monday 17 May at 1pm, to answer any questions or queries about benefits, pensions, or the Zest benefits platform. Register your interest with the Benefits team to receive a calendar invite for your preferred date.

BUPA Benefits talk- Wednesday 12 May

BUPA, the private healthcare providers, are presenting their current offering and new additions on Wednesday 12 May at 12pm. As part of our benefits scheme, BUPA offers private medical insurance covering our people for private treatment of surgical or acute medical conditions on a short-term basis. This can also be extended to cover your nearest and dearest, including your partner and/or children, by payment of additional premiums. Social media is really important in building your online brand. It can help you to stand out, make new contacts, and become an ambassador for the firm. For example, over the last year, LinkedIn has seen a 55% increase in conversations among connections - having an online presence has never been so important! 

In 12 months our LinkedIn presence has increased by 2,325 followers, meaning we are nearly 1,000 followers away from hitting 10,000 followers!

We've changed our out of hours contact and escalation contact details to strengthen our IT support during the year end (click on the image to enlarge):
Please note, there is a limited service desk capability between 5.30-7pm so please be patient with the operators. 

The 'Emergency On-Call' service should only be used if there are significant or critical issues affecting imminent client commitments. Otherwise, all incidents should be raised with the Service Desk as normal. If IT are unable to answer the phone immediately during the out of hours period, please leave a message and someone will get back to you as soon as possible.
